What should any business improvement do? Affect your bottom line, enable you to make more money and streamline your processes. Software is no different. You’ll experience undeniable empowerment and financial reward when using Asset’s features to make billing easier and processes faster. Here are four favorites:

1) Use iCREWtek with Asset to eliminate paper work orders. Get snow and service billing out the same day.

What goes into every invoice you send? Estimating, sending to production and tracking (a whiteboard, maybe?), printing work orders, tracking down timesheets, entering time, adding materials used, entering subcontractors’ time, paper, spreadsheets and more paper.

During your busiest season and big snow events, getting billing out can be time-consuming, and often late, when you need it out as soon as possible. Worse yet, bills can get missed.

Using our iCREWtek mobile app with Asset eliminates the extra paper, the spreadsheets and most of all, the time. Your crews and subs can view work orders and post each crew member’s time on their iPhone or iPad, along with actual quantities of materials, images from the jobsite and more. This data is updated in Asset in real time, allowing you to review and post billing the same day. Once the bills are posted, just email them to your clients and/or print a hard copy to send. Done.

2) Use Asset’s Range Billing feature for snow billing. Simply enter the event’s snowfall total to apply the correct rates in your invoices.

Schedule Manager’s Range Billing feature enables Asset users to dispatch snow-related tasks with the correct billing type and billing rates, before knowing the final accumulation of snow. This is useful when your contracts specify different rates based on the snowfall totals for any given snow event.

Once the work is complete, you enter the snowfall total when creating your invoices. This step causes Asset to use the contracted rate for that range of snowfall and automatically create an accurate bill.

In addition to the range billing function, there is a Range Billing Analyzer for manpower and cash flow planning.

3) Enter new leads once, with no need to re-enter them after work is sold.

When a new lead comes into your business, you enter them into Asset, like you would in any other software.

Then, your contact requests a proposal. You simply create and link a proposal record to them without re-entering contact information. Any contact made with them is tracked in Asset’s communication log, including emailed proposals.

Once that proposal is accepted, you will use the existing proposal and contact data in Asset to create a client and contract record, plus send the work to production for scheduling.

When sending new sales to production through one system, you are able to save time and money by using existing lead and estimate data, including contact details, hours, tasks and materials.

4) Send email notifications to your clients and staff based on real-time production status.

Do you need to inform people of project status, both internally and externally? Are you calling and updating clients or messaging coworkers to stay on top of projects and changes, both big and small? Spend your time selling more work, instead of chasing down updates on existing contracts.

Include’s clients use Asset’s email notification feature to email internal employees and external contacts, such as clients or property managers. You can set up emails to automatically send when work is dispatched, jobs or tasks are completed, crews are changed and more.

Bonus features of the email notifications include the ability to pull client emails on file, set them up on a job- or task-basis and customize the messages based on internal or external recipients.

Every day, Include’s clients take efficiency and profitability to the next level using Asset and iCREWtek. These features merely scratch the surface of the feedback I receive during sales, training and support sessions.
